Marketing automation services cost about $3,500 to $27,000 to set up in 2026, plus a monthly software licence and, often, a support retainer. Our two worked budgets come to about $5,500 and $21,600 for year one. A B2B team on HubSpot Professional, for example, spends about $21,600 in year one with an offshore partner company.

This guide is for the person who signs the contract: a founder, a marketing head or an operations lead hiring an outside team. You'll see what a partner company actually sets up, what the main platforms charge, how many hours each task takes, and two worked first-year budgets. We checked every platform price on its official pricing page on 29 October 2026.

First, a plain definition. Marketing automation software sends the right message to the right person at the right time without someone pressing send. It tracks what people do on your site and in your emails, scores how ready they are to buy, and passes warm leads to sales.

Key takeaways

  • Setting up marketing automation takes about 100 to 250 hours of partner work. That is $3,500 to $8,750 offshore and $10,800 to $27,000 at US contract rates.
  • Licences range from $15 a month (ActiveCampaign Starter, billed yearly) to $3,600 a month (HubSpot Marketing Hub Enterprise).
  • HubSpot charges a one-time onboarding fee of $3,000 on Professional and $7,000 on Enterprise, on top of the licence.
  • US federal contract data puts the median marketing specialist ceiling rate at $108 an hour and marketing strategists at $193.
  • Our analysis of the 6 partner companies on the UpBusiness marketing automation listing found 3 that name the service, with average projects of $500 to $5,000.

What Do Marketing Automation Services Include?

Marketing automation services cover the setup and running of a platform such as HubSpot, ActiveCampaign or Brevo. A partner company picks the tool and connects it to your CRM. It cleans your contact data and builds forms and email workflows. Then it sets up lead scoring and reports, and trains your team.

Each piece works like this.

  • Platform choice. The partner compares tools against your contact count, sales process and budget.
  • CRM sync. A CRM (customer relationship management system) is where sales tracks deals. Sync means contacts and deal stages flow both ways.
  • Data cleanup and import. Old lists hold duplicates, bounced emails and people who never agreed to hear from you. They get fixed before import.
  • Forms and tracking. Signup forms, landing pages and a tracking code on your site. The code tells the tool who visited which page.
  • Lead scoring. Points for actions such as a pricing page visit or a demo request. A high score tells sales to call.
  • Nurture workflows. A set of emails or messages that go out over days or weeks, based on what each person does.
  • Segmentation. Splitting contacts into groups, such as by industry or stage. Each group then gets messages that fit.
  • Reports and attribution. Attribution shows which campaigns led to sales. You then know where to spend.
  • Training and handover. Your team learns to run the system without the partner.

Some topics sit next door. Writing and sending regular campaigns is covered in our guide to hiring an email marketing agency. Automating back-office work, like invoices or support tickets, is covered in our n8n automation services and AI automation services guides.

How Much Do Marketing Automation Services Cost?

Every project has a software licence, a one-time setup and ongoing support. The licence goes to the platform. The setup and support go to your partner company. Many buyers budget only for the first one, then get surprised by the other two.

Cost lineWhat it coversTypical range
Software licenceMonthly or yearly fee to the platform, priced by contacts and seats$15 to $3,600 a month
Platform onboarding feeOne-time fee some platforms charge (HubSpot Professional and Enterprise)$0 to $7,000
Partner setup100 to 250 hours of setup work, one time$3,500 to $8,750 offshore, $10,800 to $27,000 US
Ongoing supportMonthly hours for new workflows, fixes and reports$175 to $2,800 a month offshore

WebFX, a US agency that sells its own automation tool, puts the initial investment at $2,000 to $10,000 depending on the agency[1]. That matches our hour-based estimate for small and mid-sized setups.

Marketing Automation Pricing Comparison: Platform Licences in 2026

The licence is the easiest cost to check, because most platforms publish it. Prices depend on two things: how many contacts you store and how many people on your team need a seat. The table shows the entry price for each plan that includes automation.

PlatformPlanPrice (checked 29 Oct 2026)What the price includes
HubSpot Marketing Hub[2]Starter$20 per seat a month (promo from $7)1,000 marketing contacts

Entry monthly licence prices for marketing automation platforms in October 2026: ActiveCampaign Starter $15, Brevo Standard $18, HubSpot Starter $20 per seat, HubSpot Professional $890, Salesforce Account Engagement+ $1,250 and HubSpot Enterprise $3,600

Two points stand out. First, the jump from starter to professional plans is large. HubSpot goes from $20 a seat to $800 a month. That jump usually buys lead scoring, advanced workflows and better reports. Second, contact counts drive the bill as your list grows. A list of 10,000 people costs far more than 1,000 on almost every tool.

Zoho shows prices in local currency based on where you visit from. Our figures come from its India price list, converted at 95 rupees to the dollar. Check your own region's page before you budget.

Which Marketing Automation Platform Fits Your Business?

Pick the platform before you pick the partner. A good partner will help, but they often favour the tool they know best. Use these rules of thumb.

  • Small team, tight budget. Brevo, ActiveCampaign or Zoho. Entry plans cost under $50 a month and cover email workflows and basic scoring.
  • Online store. Klaviyo is built around store data like orders and abandoned carts. It connects to Shopify, WooCommerce and BigCommerce.
  • B2B with a sales team. HubSpot Professional, because marketing and the CRM live in one place. Budget for the onboarding fee.
  • Already on Salesforce. Account Engagement keeps marketing inside the CRM your sales team uses. Our Salesforce implementation cost guide covers the CRM side.
  • Large company, many regions. Marketo Engage or Marketing Cloud, usually with a specialist partner and a longer setup.

One question settles most choices: where does your sales team work today? If the answer is a CRM you like, pick the automation tool that connects to it cleanly.

Marketing Automation Implementation Services: Setup Scope and Cost

Setup is where quotes differ most. The table breaks a standard setup into tasks with hours. We price each task at two rates: $35 an hour for an offshore partner company and $108 an hour, the US federal contract median for a marketing specialist.

Setup taskHoursOffshore ($35/h)US rates ($108/h)
Platform choice and account audit10 to 20$350 to $700$1,080 to $2,160
Contact data cleanup and import15 to 40$525 to $1,400$1,620 to $4,320
CRM sync and integrations15 to 40$525 to $1,400$1,620 to $4,320
Forms, landing pages and site tracking10 to 30$350 to $1,050$1,080 to $3,240
Lead scoring model8 to 20$280 to $700$860 to $2,160
3 to 5 nurture workflows25 to 60$875 to $2,100$2,700 to $6,480
Reports and attribution10 to 25$350 to $875$1,080 to $2,700
Training and handover6 to 12$210 to $420$650 to $1,300
TotalAbout 100 to 250$3,500 to $8,750$10,800 to $27,000

The work is the same in both columns. Only the hourly rate changes. That is why two honest quotes for one setup can differ by three times.

Three things push hours up. Moving from another platform adds data mapping and testing. Messy contact data can double the cleanup line. And each extra system you connect, such as a webinar tool or a billing system, adds 5 to 15 hours.

Marketing automation setup cost by package at $35 an hour offshore: basic $2,100 to $3,500, standard $3,500 to $8,750 and advanced $8,750 to $17,500

Setup packages by size

Partner companies often sell setup as packages. Here is how the hours usually group.

PackageTypical scopeHoursOffshoreUS rates
Basic1 tool, forms, 1 to 2 workflows, no CRM sync60 to 100$2,100 to $3,500$6,500 to $10,800
StandardCRM sync, scoring, 3 to 5 workflows, reports100 to 250$3,500 to $8,750$10,800 to $27,000
AdvancedPlatform switch, many systems, attribution, several teams250 to 500$8,750 to $17,500$27,000 to $54,000

Monthly Retainers for Marketing Automation Support

After launch, most companies keep the partner on a monthly retainer. The partner builds new workflows, fixes broken syncs, tests emails and sends a monthly report. Pricing follows the hours you need.

Support levelHours a monthOffshoreUS rates
Light support5 to 10$175 to $350$540 to $1,080
Active programme15 to 30$525 to $1,050$1,620 to $3,240
Full service40 to 80$1,400 to $2,800$4,320 to $8,640

US agencies publish higher numbers because they bundle strategy, content and ads. One agency round-up lists starting retainers of $3,000 to $10,000 a month for automation and marketing work[8]. Lean Labs, a HubSpot partner, says full-service HubSpot partner retainers commonly run $5,000 to $15,000 a month, and lighter support retainers $1,000 to $5,000[9].

So check what a retainer includes before you compare prices. A $1,000 retainer for automation only and a $6,000 retainer that also writes your content are different products. If you need content too, our content marketing pricing guide shows those costs.

What Does a Marketing Automation Specialist Cost per Hour?

Hourly rates explain most of the gap between quotes. We use US federal GSA contract data, which lists the highest hourly rates companies may charge government buyers[10]. Commercial rates are often lower, but the data is public and consistent.

RoleMedian ceiling rateRates in sample
Marketing strategist$193 an hour113 rates from 29 contractors
Marketing manager$117 an hour45 rates from 34 contractors
Marketing specialist$108 an hour76 rates from 42 contractors
Offshore partner company (our estimate)$35 an hourUsed in this guide's tables
US GSA contract median hourly ceiling rates in October 2026: marketing strategist $193, marketing manager $117, marketing specialist $108, compared with a $35 offshore partner rate

Strategy costs the most per hour, but you need little of it. Most setup hours are specialist work: building forms, workflows and syncs. A sensible quote uses a strategist for the first week and specialists after that.

Worked Example: First-Year Budgets for Two Companies

Here are two real-world shapes. All prices use the official licence figures above and our $35 offshore rate.

Company A: B2B software firm, 2,000 contacts, HubSpot Professional. The team wants CRM sync, lead scoring and four nurture workflows. Support runs 12 hours a month for the 9 months after launch.

LineCalculationCost
HubSpot Professional licence$800 a month for 12 months, billed yearly$9,600
HubSpot onboarding feeOne time$3,000
Partner setup150 hours at $35$5,250
Ongoing support12 hours a month at $35, for 9 months$3,780
First-year total$21,630

At US rates of $108 an hour, the same project costs $40,500. Setup rises to $16,200 and support to $11,700. The licence and onboarding stay the same.

Company B: Online store, Brevo Standard. The store wants a welcome series, an abandoned cart flow and a win-back flow. Support runs 8 hours a month for 9 months.

LineCalculationCost
Brevo Standard licence$16.17 a month for 12 months, billed yearly$190
Partner setup80 hours at $35$2,800
Ongoing support8 hours a month at $35, for 9 months$2,520
First-year total$5,510

Notice where the money goes. For Company B, the licence is under 4% of the budget. The partner's hours are the real cost. That is why a clear scope matters more than the cheapest tool.

Marketing Automation Service Providers on UpBusiness

We checked every partner company on the UpBusiness marketing automation listing in October 2026. The listing shows 6 companies. Only 3 name marketing automation as one of their own services. For each of them it is 10% to 15% of their work, next to performance marketing, strategy or SEO.

Partner companyCity and teamShare of work in automationAverage projectTrustScore

Consult Kay DigitalPimpri-Chinchwad, 1-10 people10%$2,50070.00

What this tells you: these are small marketing teams that add automation to wider campaign work. That suits a buyer who wants one team for ads, SEO and email workflows. Need a full platform switch or a complex Salesforce setup? Ask any partner for 2 or 3 past automation projects on your platform before you sign.

How to Choose a Marketing Automation Agency

Whether you search for an agency in the UK, the USA, India or Dubai, the checks are the same. Use these six.

  1. Platform proof. Ask for screenshots of workflows and scoring they built on your platform. Certifications help, but live work proves more.
  2. A data plan. Ask how they will clean, de-duplicate and import your list. Poor data breaks every workflow downstream.
  3. Itemised scope. Ask for hours per task, like the setup table above. A single lump sum hides the weak spots.
  4. Consent and privacy. Ask how they handle opt-in, unsubscribes and data rules such as GDPR in Europe. Fines land on you, not the partner.
  5. Clear ownership. The platform account, the data and every template should sit in your name. Never let a partner own the login.
  6. Measurable goals. Agree on two or three numbers, such as lead-to-meeting rate or repeat purchase rate, and report on them monthly.

Watch for warning signs too. Promises of fixed sales results, no talk of data quality, and reluctance to share past work are all red flags. Our list of digital marketing agency red flags covers more.

Email, WhatsApp and AI Marketing Automation Services

Automation now runs across more than email. Here is how the common add-ons affect cost.

  • Email marketing automation services. The core of every setup. Workflows, triggers and testing are in the hours above.
  • WhatsApp and SMS. Brevo, Zoho and Klaviyo support them. You pay per message on top of the licence. Budget for your expected volume.
  • AI features. Many platforms now offer AI help with subject lines, send times and lead scores. These save hours but still need a person to review messages.
  • Lead generation. Automation nurtures leads you already have. Finding new ones is a separate job, covered in our B2B lead generation agency guide.

Common Mistakes That Raise the Cost

Most budget overruns come from a few avoidable choices. Watch for these four.

  • Buying the top plan on day one. Start on the plan you need now. Upgrading later is easy, but most platforms make it hard to drop a tier mid-contract.
  • Importing a dirty list. Old, unconsented contacts raise your contact bill and hurt email delivery. Clean first, then import.
  • Too many workflows at launch. Three working workflows beat ten half-tested ones. Add more once the first ones show results.
  • No owner inside your team. Someone on your side should check reports each month. Without an owner, the system drifts and the retainer grows.

How to Get an Accurate Quote

Send every partner company the same brief. Include your platform (or shortlist), contact count, CRM, the workflows you want, and the systems to connect. Our project brief template gives you a ready format.

Then ask each one to price the setup tasks line by line and to state their monthly support hours. Compare hours as well as totals. A quote with 40 hours for a full CRM sync and scoring setup is too thin to be real.

When you're ready, post your project on UpBusiness with your platform, contact count and budget, and we'll match you with partner companies that fit.

Frequently Asked Questions

Marketing automation services cost about $3,500 to $8,750 to set up with an offshore partner company and $10,800 to $27,000 at US rates, based on 100 to 250 hours of work. You also pay a platform licence of $15 to $3,600 a month and, usually, a support retainer. Our two worked budgets come to about $5,500 and $21,600 for the first year.
A standard setup covers about 8 tasks. They are platform choice, contact data cleanup, CRM sync, forms and site tracking, lead scoring, 3 to 5 nurture workflows, reports and team training. Larger projects add a move from another platform, more system links and attribution reports. Ongoing services cover new workflows, testing, fixes and a monthly report on agreed goals.
HubSpot Marketing Hub Professional costs $800 a month billed yearly or $890 monthly, with 3 seats and 2,000 marketing contacts, according to HubSpot's pricing page. It adds a required $3,000 onboarding fee. Enterprise costs $3,600 a month with a $7,000 onboarding fee. Starter costs $20 per seat a month and covers 1,000 marketing contacts. Partner setup is billed separately.
Zoho Marketing Automation costs about $9 to $28 a month for 1,000 contacts on its India price list, billed yearly, across the Standard, Professional and Enterprise plans. Zoho shows prices in local currency based on your location. The figure differs by country. Standard includes 10 users and a basic flow builder, and Professional adds lead scoring and advanced workflows.
ActiveCampaign Starter costs $15 a month billed yearly for 1,000 contacts, and Brevo Standard costs $18 a month with marketing automation included, according to their pricing pages. Klaviyo is free up to 250 active profiles. Cheap plans suit small lists and simple workflows. Lead scoring, advanced reports and more seats usually need a higher plan. Check how the price grows with your list.
A standard setup of 100 to 250 hours usually takes 4 to 10 weeks. A basic setup with forms and one or two workflows can go live in 2 to 3 weeks. Moving from another platform, cleaning a messy list or connecting many systems can stretch a project to 3 months or more. Plan the data work first.
An offshore partner company charges about $175 to $2,800 a month for 5 to 80 hours of support, at $35 an hour. US agencies often charge $3,000 to $10,000 a month because they bundle strategy, content and ads. Lean Labs says HubSpot partner retainers run $5,000 to $15,000 for full service and $1,000 to $5,000 for lighter support.
The median US federal contract ceiling rate is $108 an hour for a marketing specialist, $117 for a marketing manager and $193 for a marketing strategist, based on GSA CALC data pulled in October 2026. These are maximum rates for government buyers. Offshore partner companies often charge around $35 an hour. This guide uses that rate for its tables.
An agency or partner company makes sense for the setup, which takes 100 to 250 hours of specialist work most teams do only once. After launch, many companies run daily work in-house and keep the partner for 5 to 10 hours a month. That light retainer costs about $175 to $350 offshore and covers new workflows, fixes and reports.
Check 6 things before you sign. Look for live work on your platform and a written data cleanup plan. Ask for an itemised quote with hours per task. Confirm consent handling, your ownership of the account and data, and two or three agreed goals. Ask for 2 or 3 past automation projects. A partner who avoids talking about data quality is a warning sign.
